The fine print — clear and without surprises

The mandatory legal bits, explained as clearly as possible — about quotes, options, paying and cancelling. On top of everything we agree, the Uniform Conditions for the Hotel and Catering Industry (UVH) also apply — the standard terms of the Dutch hospitality sector.

Quote & option

An indication or quote from us is without obligation and also serves as a temporary option on the stated date, for one month from the date of issue. After this period the option lapses automatically, unless we have agreed otherwise. An option is based on the stated numbers, times and components — in the event of a significant change in the number of guests or the scope of the programme, we reserve the right to revise the price or availability.

Would you like to accept the quote? Sign it — that makes the booking final.

Deposit & invoicing

Three months before your event you will receive a deposit invoice of 25%. The remainder of the fixed costs (for example venue hire and food) follows three weeks in advance. Drinks are invoiced after the event based on actual consumption.

Changes to the programme

We set out the programme and the content of the booking in broad terms in the quote. Adjustments or refinements are possible in consultation and can only be refused if they are not operationally or organisationally feasible.

Minimum spend

On some days a minimum spend applies. This floor is calculated on the basis of food, drink and venue hire — external costs are excluded from the floor amount.

Three weeks in advance

Three weeks before your event we finalise everything: numbers, menu, programme. That way we can prepare everything perfectly. Until then you can still make changes — after that, no longer.

Recorded conversations

To prepare your event down to the last detail, we record planning conversations with Plaud.ai — a European, GDPR-compliant service. That way we don't miss a single detail when drawing up run sheets and agreements. You can withdraw your consent at any time.

Prices & inflation

For bookings that take place after 1 April, we adjust prices annually for inflation (CBS index) — as is standard throughout the hospitality sector.

Cancelling

Do you need to cancel? Unfortunate, but it happens. These are the costs, as a percentage of the reservation value:

  • More than 6 months in advance — 0%
  • 3–6 months in advance — 10%
  • 2–3 months in advance — 15%
  • 1–2 months in advance — 35%
  • 2–4 weeks in advance — 60%
  • 1–2 weeks in advance — 85%
  • Less than 1 week in advance — 100%

Shorter periods apply to individual reservations. You will find the full arrangement in the UVH. Worried? You can take out cancellation insurance yourself, in case things unexpectedly turn out differently.

The Uniform Conditions for the Hotel and Catering Industry (UVH) apply to all agreements we enter into. The UVH are binding on everyone who uses our services, and are supplied free of charge on request and can be viewed at our premises.
